Most professionals who work with documents have ended up splitting that work between two kinds of tool. Nobody designed it that way. It just happened.

The research tools read the sources you give them and stay honest about it. Answers come from your material, and they will tell you when something is not there. Then you find what you needed, the tool hands you back a paragraph, and the actual deliverable gets built somewhere else.

Documents live in Boxes, one per matter, tender, regulation, or research question, and they stay there. A Box holds up to 10,000 documents. The next person to ask it something starts where the last one left off instead of re-uploading everything.

That permanence is what makes the rest work. Permissions mean something because there is a persistent thing to permission. You can see how knowledge actually gets used. Your team builds on shared context instead of each person keeping a private folder of PDFs.

Every answer carries its source

This has not changed and will not. Every answer points at the document and page it came from, so checking a claim means opening that page instead of running the research again.

A system that reads your documents can also tell you when the answer is not in them. That capability gets treated as a limitation, and it is the reason the other answers are worth anything.

Freedom to produce

This is the piece most anchored tools never built, and it is where BrainBox stopped being a research assistant.

Finding the passage is rarely the job. The job is the memo, the requirement matrix, the literature review, the briefing for someone who will never open 300 pages. So the workspace does not end at the answer.

There is a code interpreter with more than 40 Python libraries, for questions that are quantitative and do not resolve into a paragraph. You can build interactive artifacts from what is in your documents: HTML, Mermaid diagrams, Markmap mind maps. Audio and video run up to ten hours with speaker diarization, so a recorded hearing sits in the same Box as the documents about it. There is podcast generation for material a team will listen to on a commute but never open as a PDF, image generation up to 4K, and document translation that preserves formatting on Enterprise.

None of this leaves the anchoring behind. You are not exporting into a different tool and losing the sources on the way out. You produce inside the same place that knows where everything came from.

You pick the model, not your vendor

Most document tools give you exactly one model, whichever their vendor sells. That is a strange constraint to accept, because tasks genuinely differ. A quick lookup across a Box and a careful cross-document analysis do not want the same engine.

BrainBox has more than 30 models from five providers: OpenAI, Anthropic, Google, Groq, and xAI through OpenRouter. There are 13 presets and automatic selection for when you would rather not think about it. Switch per task. On Enterprise, bring your own provider keys.

Built to hand to a team

Workspaces separate departments. Roles (owner, admin, editor, viewer) and resource-level access control decide who sees which Boxes and which files. Authentication federates through Google and Microsoft, and MFA is inherited from your identity provider. There is an OpenAI-compatible API for when BrainBox needs to sit inside something you already built.

When your data cannot leave your infrastructure, it does not have to. SaaS, private cloud, on-premise, and hybrid are all real deployment options rather than a sales conversation.

New plans

Packaging is new too. It is built around Intelligence Units, which measure actual compute rather than counting seats, so a heavy analytical week costs what it costs and a quiet one does not. There are four tiers, from individual professionals up to Enterprise with custom quotas and workspace licensing.
